ATHLETIC DIRECTOR JOB DESCRIPTION
The Athletic Director reports directly to the Secondary Campus Principal. The Athletic Director provides leadership for and implementation of the school’s athletic programs. This position casts vision for the department that aligns with the mission of the school and integrates with all components of school life. The Athletic Director implements the school-approved plan for the growth and development of student-athletes.
POLICY
Understands and implements all corporate policies and school procedures
FINANCIAL
- Budgets for all high school, junior high, and elementary teams
- Monitors income/expenditures
- Writes P.O. requests and pays athletic bills
- Association fees - BAC, NCS, CIF
- Off-site facility use
- Payment of officials
- Tournament/meet registration fees
- Equipment/supplies/uniforms
- Athletic recognition/awards
- Manages NCS events as required
- Monitors donations
PERSONNEL
- Interviews/pre-screens coaches for all sports; prepares coaching handbook; follows school procedures in posting openings; makes hiring/firing recommendations to principal
- Sets policies and expectations for coaches with the principal
- Meets with coaches on a regular basis, supervises coaches, and evaluates coaches
- Ensures coaches meet the school’s personnel requirements: CIF coaching certification requirements, legal responsibilities (volunteer and paid), driving requirements
- Understands CIF, NCS and BAC rules as they apply to coaches and student-athletes
- Ensures help is in place for hosted events: Team managers, ticket sellers and ticket takers, timers, clock operators, “book” personnel, supervisors, SRO’s, other helpers as necessary
- Secures coaches for all sports and all seasons, acting as a substitute coach when necessary
MEETING ATTENDANCE
- Attends BAC and BACSAL A.D. meetings; attends NCS A.D. Eligibility Workshops
- Attends regularly scheduled site administrative meetings as required
- Meets with Captains (SAAC) once each month
- Organizes and resides over seasonal coaches’ meetings
- Organizes and resides over seasonal parent meetings
CLERICAL
- Communicates approved rosters to the school community, media, leagues, others as necessary
- Prepares & collects Athletic Packets for all student-athletes
- Maintains sports records, team awards, and letter/pin recipients on a seasonal and yearly basis
- Establishes procedures for monitoring inventory of uniforms and athletic equipment
- Ensures all athletic game and practice information is communicated to the school community in the Daily Bulletin
- Coordinates schedules on website, Google Calendar, and school calendar
- Verifies rosters for accuracy with every coach, every season
- Handles all athletic copying needs
- Updates and maintains rosters and schedules on MaxPreps
- Prepares/processes waivers for all transfer students; monitors the waiver process in each specific case
ACADEMIC
- Monitors academic eligibility on APU dates for all students participating in interscholastic athletics
- Interfaces with teachers and counselors to support student-athletes
COMMUNICATION
- Initiates/responds to phone or e-mail communications from school administration, teachers and the academic community, coaches and the athletic community, parents and the school community, BAC, NCS and CIF
- Secures officials for hosted events in baseball, basketball, soccer, softball, and volleyball
- Communicates any schedule changes with officials, facilities, transportation and school community immediately
- Monitors school’s athletic website, ensuring schedules are on the school website and updated as necessary
- Works with the Marketing Office on promoting athletics via website/social media
- Sends early communication regarding athletic events, physicals, transfer process, etc.
- Reports any needed fixes to maintenance, transportation, etc.
- Secures school facilities for athletic events/banquets
- Coordinates pre-season parent meetings and post-season sports awards events
- Collects contact information for coaches/student-athletes
- Prepares the overall athletic calendar for posting to website and the weekly athletic calendar for Daily Bulletin
- Provides instruction to teachers/staff/school community about athletic eligibility
- Follows school protocol in dealing with parent complaints; facilitates meetings between parents and others; mediates disputes as necessary
- Works with local media in consultation with the principal
- Communicates policy changes to coaches and recommends coaching suggestions to administration
- Acts as the liaison with administration, teachers, coaching staff, student-athletes, parents, and the community
- Coordinates vehicle use with the facilities department for away games and offsite practices; distributes/collects van keys for coaches
LEGAL
- Understands and communicates school policy, state law, CIF and NCS rules; monitors frequent changes
- Ensures transfer eligibility process is done correctly to avoid sanctions against student-athletes and the school
- Ensures all hosted events do not open the school up to possibility of athletic forfeits or legal liability
- Coordinates contracts for athletic events with other schools as necessary
- Ensures equipment is reconditioned as necessary to remain in compliance with the law
- Acts as site supervisor for athletic events and ensures other supervision is secured as necessary
- Ensures that the school meets Title IX standards
ATHLETIC SCHEDULING
- Attends practices and contests as necessary
- Works with league/other ADs on all league-scheduled events
- Works with coaches/other ADs on non-league scheduling
- Coordinates school’s athletic schedule with other school events
- Re-schedules/postpones/cancels events as necessary
- Ensures venues are prepared for home events
- Secures transportation needs for away events
- Coordinates supervision of all home athletic events; coordinates supervision of away athletic events as necessary
- Coordinates last-minute NCS championship events as necessary; acts as site director for home NCS events and site supervisor for away NCS events
Requirements
- Demonstrated ability to organize, plan, coordinate and direct with many school departments for 3 athletic programs: Elementary, JH, and HS
- Experienced in athletic leadership and coaching
- Knowledge of and ability to apply BAC, NCS and CIF rules
- Ability to communicate effectively, both orally and in writing
- Effectiveness in working with administrators, coaches, students and the community
- First Aid, CPR, and AED certified
- Changing work hours depending on season - i.e., regular evening work during Basketball season
