Description
The School Office Manager serves as the first point of contact for students, families, staff, and visitors and plays a vital role in supporting the daily operations of Providence Christian Preparatory School. This position requires exceptional customer service, professionalism, confidentiality, organizational skills, and a commitment to supporting the school's Christian mission.
The School Office Manager provides administrative, clerical, attendance, records management, and communication support while helping to maintain a welcoming, safe, and efficient school environment.
Requirements
Essential Duties and Responsibilities
Front Office Operations:
Serve as the primary receptionist for the school office.
Greet and assist students, parents, staff, visitors, and community partners in a courteous and professional manner.
Answer and direct incoming telephone calls and emails.
Manage visitor sign-in procedures and maintain campus security protocols.
Provide information regarding school programs, policies, and procedures.
Student Records and Attendance
Maintain accurate student records and files in compliance with applicable laws and school policies.
Process student enrollment, withdrawals, transfers, and records requests.
Monitor daily attendance and communicate attendance concerns to parents and administration.
Prepare attendance reports and other student data reports as requested.
Assist with transcript requests, report cards, and cumulative records management.
Administrative Support:
Provide clerical support to the Principal and administrative staff.
Prepare correspondence, reports, forms, newsletters, and other school documents.
Maintain calendars, schedules, and appointment records.
Assist with organizing meetings, professional development sessions, and school events.
Coordinate office supply inventory and ordering.
Maintain accurate filing systems, both electronic and paper-based.
Parent and Community Relations
Respond to parent inquiries in a timely and professional manner.
Assist families with enrollment, scholarship, tuition, and school-related questions.
Support positive communication between the school and families.
Promote a welcoming and customer-focused atmosphere for all stakeholders.
Financial and Operational Support:
Receive and record payments as assigned.
Prepare receipts and maintain accurate payment records.
Assist with scholarship documentation and verification processes.
Support student information system data entry and reporting.
Assist with purchasing and vendor communications as directed.
School Safety and Compliance:
Follow all school safety procedures and emergency protocols.
Maintain confidentiality of student, personnel, and school information.
Support compliance with applicable state, local, and accreditation requirements.
Participate in required training and professional development activities.
Event and Program Support
Assist with planning and coordinating school events, graduations, orientations, open houses, testing days, and parent meetings.
Prepare event materials, sign-in sheets, and communications.
Provide logistical support for school programs and activities.
